Conclave Registration Policies and Procedures

Conclave is April 11-13, 2008, in St. Louis, MO at the Millennium Hotel.

Early Bird Registration is from 2/25/2008 to 3/9/2008.
Standard Registration is from 3/10/2008 to 3/25/2008.
Late Registration is from 3/26/2008 to 3/28/2008. Registration via website will be closed on 3/28/2008.
Last date to cancel with partial refund is 3/28/2008. See the cancellation policy for details.

Late and Walk-in Registrants will not receive a t-shirt.


Fees
1. Conclave Attendance fee is $95. This fee is waived for Delegates and National Officers.
2. There is a $10 Early Bird Discount for Early Bird registrations. (Does not apply to Delegates and National Officers.)
3. There is a $20 Late Fee for all Late registrations. (APPLIES TO EVERYONE, INCLUDING DELEGATES AND NATIONAL OFFICERS.)
4. There is a $40 Walk-in Late Fee for all registrations that occur on site at the hotel. (APPLIES TO EVERYONE, INCLUDING DELEGATES AND NATIONAL OFFICERS.) Would-be "Walk-in" registrants should contact the National IT Director and National Treasurer to verify that the hotel will be able to accomodate additional registrations. Their registration will be processed on-site at the hotel.
5. There is a $25 Transfer Fee to transfer a registration to another person after 3/28/2008 in certain situations. See the Transfer Policy for details.
6. There is a $45 Cancellation Fee to cancel a registration before 3/28/2008. See the Cancellation Policy for details.
7. Conclave attendance fees may be paid via PayPal. A $3 surcharge will be added for this convenience. Alternatively you may pay by sending a check directly to the National Treasurer:

Cancellation Policy
1. Cancellations that are received by 3/28/2008 will receive a partial refund (if already paid) of their registration fees less any Paypal fees (if applicable) and a $45 Cancellation fee. If the registrant has not already paid, the chapter will be billed* for the $45 Cancellation fee at Conclave.
2. Cancellations received after 3/28/2008 are not entitled to any refund whatsoever. If the registrant has not already paid, the chapter will be billed* for the full amount of Attendance fees (and Late fees if applicable) at Conclave.

*Chapters will not be held responsible for their Alumni registrants, however. Alumni registrants who have not paid in full by 3/28/2008 will automatically have their registrations cancelled. They will be charged the Walk-in price if they still choose to attend.

Transfer Policy
1. To transfer a registration from one person to another, email the National Treasurer and the National IT Director. Include all the pertinent details about the new registrant.
2. If the transfer request is made after 3/28/2008, no guarantee is made that the new registrant will get their chosen t-shirt size if different from the person they are replacing.
3. Registrations can be transferred to anyone at any time before 3/28/2008.
4. Male-to-male or female-to-female transfers will be allowed after 3/28/2008.
5. Male-to-female or female-to-male transfers after 3/28/2008 are subject to approval by the National Finance Director. Such transfer may require an additional $25 Transfer fee before approval if additional rooms must be booked to accomodate the new attendee.

Attendance Policy
1. Devotion, Roll Call, and Business sessions are closed to paid registrants. Certain Rituals are closed to paid registrants who are also STE members (not necessarily including pledges). No one, including STE members, will be allowed to enter any session if they are not officially registered and paid. Badges must be worn at all times as evidence of paid registration. Anyone who does not have their badge may be asked to leave the session and retrieve it.
2. Delegates and National Officers are required at Devotion, Roll Call, Business, and Rituals. Tardiness to or absence from any required session will result in the Delegate or Officer being charged the Standard Attendance fee $95. Such action by a delegate may also forfeit any Travel Assistance monies to which the delegate's chapter would have been entitled.

Conclave Standard Registration Extended!

If you haven't registered yet, it's your lucky day!

The next 5 people to register for Conclave will have the Late Fee waived. Also,
*anyone* who registers by midnight tonight (3/27/2008) will *still* get a
t-shirt.

Please note: room mate selection may be limited, but you might meet some
interesting brothers from other chapters!!!!
