Just so we dont run into scheduling issues with BD and Conclave, what are the proposed dates thus far for Conclave? If any?
If not, i highly recommend that we stay away from the first weekend in April, thats April 4-6. That would cause huge conflicts.

I dont know about everyone elses school, but this year our spring break coincides with our Easter break. we are off for 10 days straight from march 14-24.

4 locations :

St. Louis, Missouri
Louisville, Kentucky
Kansas City
Columbus

Times are either the second or third week in April.

Pricing, pricing, pricing. That is basically what picks the site and date. We contact hotels in all four cities for both dates. The price we get back that lets us have the most inpact for low pricing and still provide a good travel reimbursement is what gets picked.

ahh ok. is it just hotel pricing, or is flight pricing/drive time considered as well. Cause that will influence alot of decisions

I know that drive time goes into consideration because the Beta Zeta Chapter took 8 guys last year and travel expenses were paid for an X amount of cars, I don't know all the details, just a little insight.

Factors such as driving and reimbursement are current considerations for the Primary and Secondary slates of cities.

We actually factor flight pricing into our slate of cities to begin with. Same with drive time.

But drive time can come into consideration again. If we get similar prices from two different cities on the slate, but the drive time for one is better for a larger number of chapters, then we go for that one. Even if it is a little more expensive for the room, the larger number of non-delegates that show up allow us to pay for that.

But if we get a really low price from one place, and all the others are high, we most likely will go with the lowest price so that we can try to offer all of the other things we offer, while trying to keep the price per brother low.

Well if pricing is the overall factor, lets have an open discussion about travel costs for all chapters.

For Beta Delta:
a flight to CHI - $334 lowest cost (Chicago)
a flight to CMH - $407 lowest cost (Columbus)
a flight to SDF - $386 lowest cost (Louisville)
a flight to MCI - $230 lowest cost (Kansas City)

Drive time to:
Chicago - 17 hr 57 mins at 1202 miles
Columbus - 19 hr 19 mins at 1315 miles
Louisville - 16 hr 18 min at 1112 miles
Kansas City - 11 hr 42 mins at 776 miles

So whether driving or flying the cost is cheapest at Kansas City, but probably not the most desirable destination.
I would greatly like to see what the cost is for other chapters, so you are all invited to post by chapter. and also what is the preferred destination, personally i would love to go to Chicago or Louisville. But again if its cost is hte main factor, ill take Kansas City

well we'll most likely drive so:

for beta kappa:
round trip to chicago: 15 hrs
round trip to columbus: 20 hrs
round trip to louisville: 14 hrs
round trip to kansas city: 3 hrs

so KC would deffinately be the most desirable for us. especially since the last two conclaves have been a 16 hour round trip for us and fall gathering was over 20. those kind of trips pretty much wipe out our bank account every time too, since we are so young and really have had no chance to build up any savings.

Beta zeta guys will drive like normal


Drive time:

Chicago 11hrs
Columbus 13 hrs
Louisville 10hrs
Kansas City 4.5 hrs


it would be really nice to see the Conclave over our way a little bit....So Kansas City is my in favor right now.

oh by the way i forgot to mention the drive times i put up, were only 1 way. so for roudn trip, double the drive time

Well, we have a chart somewhere that shows drive times.
We try to choose the place with the shortest drive times. We also pay for gas for one car for driving.
