This documentation is incomplete. Some sections in the outline may be missing from the actual body. Some features that have not have been implemented yet are documented here as "TODO:" features. As long as this Disclaimer appears here, please be patient and do not flood the National IT Director with help requests. Use the Database Development forum on the Bulletin Boards to determine what functionality has been implemented and should or should not be working.

The Sigma Theta Epsilon National Member Database (steDB) was created to simplify and streamline the process of tracking membership information for the fraternity. The goal is to keep an up-to-date directory of our members, including alumni, that can be managed by fraternity officials, while also allowing our members to personally update their own information.


General User Guide      [ TOC ]

This section is the General User Guide for steDB. It is intended to provide most STE Members with information that allows them to use steDB to keep their own information up-to-date with their Chapter and with the National Fraternity. It also describes how to use steDB to access other information about Sigma Theta Epsilon that is only available to our Members.

Registering for steDB      [ TOC ]

Getting access to steDB is a multi-step process:

1. Register for the Bulletin Boards. This username and password will then be the same one you use for steDB.
2. Request Access to steDB.
3. Your local Secretary or Alumni Director grants you access to steDB.
4. Login to steDB to manage your personal information, and browse other Member and Chapter information.

If you encounter difficulty at any point. email the National IT Director and explain where you are having a problem.

Registering for the Bulletin Boards      [ TOC ]

To register for the Bulletin Boards, simply go to the boards and click the "Register" link. Fill out the required information, and submit it. Please note that we have had a lot of trouble with spam-bot registrations, so we have gone to an Admin Approval for these registrations. By entering information (whether in the Location or Email fields...) that clearly identifies you as a person affiliated with the fraternity, you are more likely to be approved quickly and avoid being deleted accidentally. It has happened before that legitimate registrations were deleted because they only filled out their email address and nothing else in the registration details contained any hint of association with one of our chapters.

You will have to wait for approval here before you can participate in discussion on the Bulletin Board, however you do NOT have to wait for approval here before moving on to the next step to get steDB access...

Requesting Access to steDB      [ TOC ]

There are two ways to gain access to the steDB once you have a login to the Bulletin Boards.

The easiest way is to contact your local Secretary (or Alumni Director) and notify them that you have signed up for the Bulletin Boards and would like to be given access to steDB. The basic information they will need is your Bulletin Board username, your full name, your email address, your Pledge Class, and your DKR year (if applicable). If you already have a Member Record in the database they can locate it and simply "hook it up" to the Bulletin Board username you created. If you do not already have a Member Record, they will be able to create one (assuming you provided all the required information) and then do the hook-up. TODO: You will automatically receive an email when they complete the hook-up.

Another way is to simply use your new Bulletin Board username and password to try and log in to steDB. The system will recognize you are not connected to an existing Member Record, and prompt you to fill in some basic information, sucha as your full name, your email address, your Pledge Class, and your DKR year (if applicable). This will be stored in a queue that your local Secretary and Alumni Director will see when they log in. Requests in this queue can be reviewed and approved with essentially one click.

Signing In      [ TOC ]

Signing in to steDB should be fairly straightforward. Enter the same username and password you use for the Bulletin Boards. If you forget your password, go to the Bulletin Boards, click the "Login" link there and then follow the link provided for resetting a forgotten password.

Managing Your Profile      [ TOC ]

Your Member Record is referred to as your "Profile". To make changes to your profile, start from the [Main] screen and use the pulldown button to pick Edit My Profile. From here you can edit much of the information about yourself. You are not allowed to edit certain items which are considered "fraternity" information or information that you would typically have no need to change. These include such things as your chapter, pledge class, DKR year, etc. If you see a mistake in a field you cannot edit, or find that one of these indeed has changed, contact your local Secretary or Alumni Director and supply the details needed to verify and make the correction.

After making any necessary changes to your modifiable information, click the Save button to save your changes. You will return immediately to the same page in case you need to make further modifications.
